What we’re looking for:

This instrumental role will play a major part in the success of the team at Clive. Working closely with the Creative Director and the Associate Creative Director, this key role is to manage workload, and ensure efficiency and productivity on every job. You will have a positive attitude in managing expectations, you know instinctively what needs to be done next and what is best for the client, and for your team. With ever changing priorities, you can handle large workloads and not be put off when work is put on hold to make way for something new. You’ll understand the need for tight processes and procedures, you’ll be helping to create ours and champion them across the business.

Responsibilities

The role covers 3 areas:

  • Studio management
  • Resourcing/Casting of work
  • Support for CD

Studio Management

Ensuring all briefs are in on time, have all information needed (sizes, tech specs etc) and assets required to start project. Be sure to be proactive at all times to predict resource required and have the aptitude to foresee challenges

  • Brief creative/design and artworkers with operations team
  • Liaise between operations and creative/design for any additional info needed
  • Support operations team by knowing production values and applying knowledge to help support and train/ Know when to suggest client F2F briefings

Resourcing /Casting of Work

  • Oversee all design/creative briefs, workload and casting calendar ensuring we triage on complex briefs, to ensure we have the right people brought together to solve our client needs
  • Manage daily resourcing and capacity of team members, both permanent and freelance and assign work across the day / week / month
  • Champion signoff and agency process and work alongside the team to ensure all databases are up to date
  • You will develop and manage processes to ensure that projects are completed on-time and to budget. This includes forecasting and managing external freelance resource requirements and submitting requests/costs for approval
  • Create strong relationships and communicate daily with internal and external stakeholders, from briefing on creative/design to sourcing and negotiating costs
  • Be confident enough to spot and solve issues in work schedule and project delivery
  • Promote the development of “Less Ordinary” resourcing solutions to deliver for the business and its people resourcing needs
  • Understand the skills we need in the business at large to deliver and constantly seeking new talent in the industry so we’re not relying on recruitment agencies
  • Forecast team needs for the future based on estimated incoming projects, in collaboration with Creative Director and Operations
  • Work with the relevant operations people and CD in order to protect the creative output and commercial profitability. Input into the casting process to ensure appropriately skilled specialists are assigned to clients and meet their needs
  • Ensure the allocation of correct teams to each project based on a true understanding of the project requirements, the SOW and the strengths of each and every member
  • Train client teams and new joiners in the Agency resourcing process and tools used
  • Work with the Team Leads & ECD’s to solve any day to day creative/delivery issues that need addressing

Support for Creative Director

  • Working closely with CD to support in people and task management
  • Be clear and assertive with project teams to establish great processes, practices and collaboration
  • Manage diary to ensure all reviews and sign-offs are booked in
  • Work with CD to manage databases of freelancers and 3rd party suppliers

This is a full-time role based in our London Bridge office. Working hours are 9am – 5.30pm, Monday-Friday.
